This page is for GomShip account holders who want to delete their account and related personal data, under the right to request deletion of data provided in the 2025 Law on Personal Data Protection and the Personal data protection policy. A GomShip account is tied to a shop’s orders and COD money, so GomShip needs to verify the account holder and settle any balances before deleting.
This is an English translation provided for convenience. The Vietnamese version is the authoritative text; if the two differ, the Vietnamese version prevails.
1. Before you request deletion
- Finish orders in progress: wait for orders being picked up, shipped, delivered or returned to reach a final status (delivered, returned or cancelled).
- Finish COD reconciliation: reconciliation sessions awaiting payment need to be paid out. Any remaining COD money is transferred to the bank account you registered, so check that your receiving account details are still correct.
- Save the data you need: export your order list to Excel and download the statement (CSV) of each reconciliation session from the Dashboard.
- Consider other options: if you only want to stop receiving notifications or withdraw part of your consent, you can contact us without deleting your account.
2. Steps to request account deletion
- Send your request in one of these ways:
- In the GomShip app: go to the Account tab → tap Delete account → choose to call the hotline or message customer support on Zalo.
- Email: write to hello@gomship.vn (copying the personal data protection department contact@lexdata.vn) with the subject “GomShip account deletion request”. Click here to open an email with a ready-made template.
- Phone/Zalo: hotline +84 978 292 157 (Monday to Saturday, 8:00 – 18:00, Vietnam time).
- Provide verification details: the account holder’s full name, registered email, registered phone number (if any) and store name. Please send from the email address registered to the account. GomShip may send a confirmation code to the registered email or ask for more information to make sure the request comes from the account holder.
- GomShip checks the conditions (section 3) and tells you if there are orders in progress, unpaid reconciliation amounts or balances to settle first.
- Data deletion: once the conditions are met, GomShip deletes or anonymizes data as described in section 4, keeping only the data the law requires under section 5.
- Confirmation: GomShip sends a confirmation email to the address you used for the request.
3. Conditions for deletion
GomShip deletes an account only when:
- The requester is verified as the account holder;
- No orders remain in the process of pickup, shipping, delivery or return;
- No reconciliation session is unpaid and no balance remains unsettled between you and GomShip (for example a negative reconciliation session to be offset in a later period);
- No complaint, compensation claim or dispute concerning the account is being resolved; and
- No competent state authority has required the data to be preserved.
If the conditions are not yet met, GomShip will tell you why and how to complete them. Your request is kept and processed as soon as the conditions are satisfied.
4. Data that is deleted or anonymized
When an account is deleted, GomShip deletes or anonymizes (so that you can no longer be identified) the following data:
- Profile information: the shop owner’s name, email, phone number, store/company name, address and referral code;
- Sign-in information: password (hashed), sessions, device IDs and push notification tokens in the app;
- Pickup warehouses, saved product lists, reconciliation settings and other personal settings;
- COD bank account details in the profile (bank name, account number, account holder name), except what appears in the transfer records that must be kept under section 5;
- Notification lists and activity history that the law does not require us to keep.
5. Data that is retained & retention periods
The law requires GomShip to keep certain data even after an account is deleted. This data is used only for the legal purposes below, access to it is restricted, and it is deleted or anonymized when the period ends:
| Data retained | Reason | Period |
|---|---|---|
| Reconciliation and payment records: reconciliation sessions, statements, COD transfers (with the receiving account details on the record), fees and balances | Accounting and tax law | 10 years from the end of the financial year in which they arose (the Accounting Law sets a minimum of 5 or 10 years depending on the type of document) |
| Order data: waybill number, goods value, shipping fee, COD amount, status, tracking history | Basis of accounting records, reconciliation and complaint resolution | 10 years, together with the reconciliation records above |
| Recipient information on orders: full name, phone number, detailed address | Resolving complaints, compensation and disputes | Up to 3 years from the date the order is completed (the limitation period for lawsuits under the Civil Code), then anonymized; only the province/city and ward/commune are kept |
| Complaint, compensation and dispute files | Protecting the parties’ rights and meeting compensation obligations | Until resolved and within the limitation period, then up to 3 years |
| Evidence of the electronic contract: time, version of the terms and IP address at the time of consent, and the deletion confirmation email | Proving the contract was concluded and that your request was carried out | 3 years from the date the account is deleted |
| System access logs: IP address, sign-in/sign-out times | Cybersecurity law; tracing incidents and fraud | At least 24 months, then deleted |
| Data required by a competent state authority | Complying with a written request as provided by law | As that request requires |
Data held by third parties: information already passed to carriers (BEST Express, SPX Express), banks or technical service providers to fulfil orders and payments is kept by those parties under their own policies and the law that applies to them. GomShip cannot delete data that those parties control; you can contact them directly to exercise your rights.
6. Processing time
- Acknowledgement of your request: within 2 working days of receiving a valid request.
- Completion of deletion: up to 30 days from when the request is verified and the conditions in section 3 are met. If more time is needed because of the volume of data or the complexity of the request, GomShip will tell you the reason and the new deadline.
- When deletion cannot happen immediately: GomShip tells you why (for example orders still in progress, or data that must be kept under section 5) and the next steps.
7. After your account is deleted
- You can no longer sign in, and deleted accounts, orders and reconciliation statements cannot be restored.
- Devices that are signed in are signed out, and GomShip stops sending notifications for the account.
- You can register a new account at any time; a new account does not inherit data from the old one.
- Data retained under section 5 is used only for the legal purposes above and is automatically deleted or anonymized when its period ends.
